Part Time Office Administrator - (Based on Cambridge University Term Time )
Description
This is a part time position for someone looking for work based around Cambridge University term times, more hours in term time with reduced hours out of term. CU term times for the next academic year as follows: October 3rd 2016 – December 2nd 2016, January 16th 2017 – March 17th 2016 and April 24th 2017 – June 16th 2017.
Cambridge Union Society is rapid changing and evolving business/charity that will be entering a challenging but excited period as it embarks on a multi-million pound redevelopment. The ideal candidate will come experienced working within administration in a small business/charity/student environment, with a focus on professionalism. Whilst the position is part time entrepreneurial and out of the box thinking with a can do attitude are traits that will serve you well. A list of key responsibilities as follows:
Office Administration
• Opening post and passing to the relevant department/persons.
• Following and chasing and queries, complaints or requests for information.
• Handling the administration for the Schools Debating Competition and IV debating completion, logging all cheques as they come in, filing paper work and following up queries
• Ensuring that all ‘info’ emails are directed to the appropriate person, responding to the sender with what action has been taken.
• Using the membership database system, printing and setting up access cards.
• Ensuring records are updated and discrepancies are corrected and dealt with in a timely fashion
• Liaising with the relevant student officers to arrange travel and accommodation for speakers and guests.
• Responsibility for the ordering and accessibility of all office materials including those used for membership, day to day office use, event materials and student functions.
• Maintenance and repairing or any and all office equipment.
• The general appearance and tidiness of the office.
• Helping and assisting guests and clients of the Cambridge Union Society.
• Assisting other members of staff with their responsibilities.
Key Skills
• Excellent communication skills are a must.
• A good working knowledge of Microsoft Office 2013.
• A good working knowledge of Microsoft Outlook2013.
Salary: circa £18k (pro rata if applicable) plus 25 days holiday
